Frequently Asked Questions

How does Who's Where handle exempt, seasonal and part-time employees?
For Who's Where to work properly, hours worked must be included in the monthly payroll report file. Your payroll service should allow for assignment of standard hours. For information used to enroll seasonal employees, call the Fund's Participant Services Department at 1-800-738-9622.

Can Who's Where handle employees transferring in from a different YMCA?
Yes. Provided that the previous YMCA was using Who's Where, their historical data will be stored within the Who's Where database. Otherwise, the previous monthly amounts will need to be entered from the Employee Maintenance screen.

If an employee leaves and returns later, will Who's Where continue to track their hours?
Yes. Who's Where will track any employee's hours indefinitely, even if the employee is terminated and rehired at a later date.

If an employee works temporarily at another YMCA that does not use Who's Where, can we add those hours into the system?
Yes. There is an area on the Employee Information screen which allows for hours worked prior to the use of Who's Where to be entered.

If an employee's information changes (i.e. name, address, etc) will Who's Where need to be updated?
No. Who's Where updates all data each time a new monthly payroll file is uploaded to the system.

Can Who's Where track which employees have a 403 (b) Smart Account?
Absolutely. There is an area on the Employee Information screen which allows for assignment of 403 (b) Smart Account status. This must be set manually by the Who's Where user.

Why do I need to confirm employees that have become eligible?
While Who's Where is a wonderful and accurate system, there can be exceptions to rules that we cannot foresee (such as paychecks to institutions or foreign employees). These confirmations allow a manual override to the system as well as provide the added security that no one will be passed to YERDI who is not currently enrolled or making pre-eligible contributions.

Can I upload the same payroll file again?
Yes, you can upload the same file more than one time. If you make changes to the payroll import file, you should contact Points North to help remove the erroneous data from the previous import.

If I re-upload a payroll file, will it duplicate the data?
No. Who's Where will not duplicate data that's already in the database. The data is updated based on the date of the uploaded payroll file.

I was entering data in Initial Setup and now it's gone. What happened?
For security reasons, the server disconnects your link every few minutes. We recommend that the user logout if they will be detained for more than 5 minutes. We also recommend that the user save records every 3-5 minutes to insure the data entered is saved to the database.

Is Who's Where safe in regards to outsiders accessing the data we are uploading?
Yes. GeoTrust is utilized for the security of this site. You may validate this by clicking on the Member Login button near the top of this page, and then clicking on the GeoTrust image.

What are the "Initial Hours" in Who's Where?
These are hours worked from the employee's most recent anniversary date and prior to the use of Who's Where. As part of the Initial Setup, it is necessary for the user to enter these hours for any employee who is not currently enrolled in the Retirement Fund. This is the number that Who's Where will add to every month when the monthly hours worked are updated until the employee reaches their anniversary date. Once the employee reaches their anniversary date, Who's Where will determine if that individual meets the eligibility requirements.

What are Year-To-Date Hours based on in Who's Where?
Year-To-Date Hours are all the hours worked from the employee's anniversary date and calculated by adding the initial hours to all hours that have been uploaded on a monthly basis.
